How do you build and maintain a good relationship with your customers?

Practice relationship basics – remember that relationships depend on communication, and that communication is a two way street. And don’t imagine that a constant bombardment of ads is constructive of a relationship. It only says to that customer that all that matters to you is whether he buys.

You may be saying, “My customers are automatically put on my ezine mailing list so they hear from me regularly. I don’t have time to do more than that.” My answer is, the ezine is a great start. Now use my favorite tool – the autoresponder – to its full, time saving advantage to personalize the relationship. Here’s how:

1. Personalize your communications

Make sure you use the personalization feature in your ezine list manager and your autoresponder to full advantage. You know, [firstname], how you like to see and hear your own name. Whether you realized it or not, it’s your favorite word! But don’t overdo it. Just as you don’t begin every sentence in a verbal conversation with the other person’s name, use the name sparingly in your emails. Make it flow naturally by placing it in sentences that are more personal in nature (note the sentence above where I used your name, for example).

2. Generate feedback

Look for ways to generate feedback from your ezine subscribers. As you noted above, I have started features soliciting your feedback in form of your personal biographical background and information about your website. Anytime you can get your subscribers to share something important to them, they have come another rung on the relationship ladder. It should go without saying that you need to share yourself to encourage feedback. Communicate simply as you would if you were talking to a friend – you will find that your subscribers will come to consider you their friend! Don’t be afraid to take a stand on issues, again, just as you would with a friend. It is difficult for your subscribers to develop a friendship if no personality emerges from your emails. If you are by nature a more private person (as I am), you may need to work at being more open in your communications. Have a friend or spouse read some of your emails to give you honest feedback as to how your personality is communicated. Obviously the latitude you have in expressing yourself is enormous. I receive several ezines whose authors always start out by writing about their children’s braces or their dog’s cancer. While that isn’t my style, if you have a let-it-all-hang-out personality, then go right ahead. It communicates who you are. The personality you project won’t be the favorite of all your readers anyway, but that’s not the point.

Use a spell checker and have someone else proof your emails if grammar and sentence construction give you problems. You have a message to communicate to your subscribers – bad grammar or incomplete sentences obscures that message. Even worse, it says that you didn’t consider the message (and its recipient) important enough to get it right. Don’t expect significant feedback if you don’t respect your subscribers enough to pay attention to details.

Autoresponders also allow you to easily get feedback on site issues such as HTML/plain text, or whether to publish on Tuesday or Saturday. Simply set up separate autoresponder addresses for each reply, or one address with different subject lines.

3. Exceed expectations

Assuming you are already doing the basics such as delivering a good product that does all it claims, and promptly following up on support issues, nothing builds good relationships and customer loyalty better than doing little things that are pleasant surprises.

For example, your customers deserve first rate support and you should by all means deliver it. But why not anticipate as many of their questions and potential problems as possible by including a FAQ/support email in your autoresponder instant message that immediately follows up your sale? It will not only save you tons of support time and effort, it will deliver the message that you want your customers to have answers at hand before there are questions.

Use another of your follow up messages to offer your customer another product that is a natural follow-up to the one you just sold him. It is not only smart marketing; it says you know what he is likely to need and are not just pitching whatever else you have to sell.

Another message could ask for a testimonial in exchange for some item of value. This tells your customer you value his feedback and are willing to pay for it.

Here’s the biggest relationship-builder. Before you put your product on the market, think in advance what other less costly but closely related products your customer is sure to find useful. Offer these products as bonuses through your autoresponder follow-up series. By doing so, you will immediately set yourself apart from 95% of your competitors. Nothing I know of matches the pleasant surprise of receiving unannounced bonuses that are immediately useful and valuable. It speaks volumes about your thoughtfulness and the value you place on your customer and his needs. Even if you have to pay to get these follow-on bonuses, it will be more than worth it in the long term. One is great; if you can manage it two or three would be even better. Ideally you could continue to provide articles or tips on a continuing basis that relate to that customer and his needs. Autoresponders make it simple!

This is just a sampling of the kinds of relationship-building jobs you can set up your autoresponder to do. Does this kind of approach call for considerable planning before the sale? You bet! While your average customer may not appreciate the fact that you spent the extra time to set up the post-sale autoresponder sequence, he will get the overall message that you care about him as a customer and have gone out of your way to see that his needs are met. As you build a relationship of trust and respect by applying methods such as these, that position you hold in your customer’s subconscious relative to your competitors will move higher and higher. While this is an invisible, intangible thing, it will translate into future sales and a growing customer base. Combined with a continuing flow of good products, this is a recipe for online success. It’s time to crank up the autoresponder and start putting in the ingredients!

There is no one ‘best’ autoresponder. If you want to get familiar with autoresponders without spending any money, check with your web host first, if you have a web site. You will probably find that basic autoresponders are available as part of your hosting service. But, as previously noted, they may not have any follow-up message capability. For more flexibility, you should look at the following free autoresponders.
FreeAutoBot

SendFree

If you need broadcast capability, you will need to pay for an autoresponder. You should also note that products advertised as e-mail list programs rather than autoresponders also fill the basic role of automating the opt-in function. These types of programs may not function well at the basic autoresponder role of providing instant messages and multiple follow-ups. As a result, if you use an e-mail list program, you will probably still end with a separate autoresponder product to handle many of your marketing functions.

Some suggestions for autoresponders with broadcast capability that could function as both e-mail list handlers and other marketing functions are:

ProAutoResponder

ProfitResponder

There are many more to choose from, varying widely in cost and capability. To understand what your choices are and make the selection that fits your business today, you need All About Autoresponders. It includes access to a series of autoresponder feature comparison charts, so you can compare similar products side-by-side and see which one is best for you. Avoid a buying mistake by grabbing this comprehensive resource today! The bonus items alone are worth almost 10 times the product cost. Don’t try to purchase or apply autoresponders without the valuable information in All About Autoresponders.

Now that you understand some of the principles of autoresponder applications, you are ready to look at some specific marketing techniques. The following article gives some excellent examples of the ways you can use autoresponders as part of a smart long-term marketing strategy.

We have already seen that autoresponders are vital to performing the critical role of building an opt-in e-mail list and following up with that list. What else can you do with them?

The list is long – endless in fact! I keep finding new uses for autoresponders. It’s probably most useful to you to list some general categories – as you learn more you will begin to see the various kinds of things that fit in each category.

Simple information transfer

I mentioned previously providing information about using or repairing products. Anything you can think of that you want someone to access at their convenience by merely sending an email is a candidate for an autoresponder. For example, I write articles for my newsletter and have each one on an autoresponder. If another newsletter wants to publish some of them, I just send a list of autoresponder addresses to the publisher.

Multi-part courses

This e-course could be broken into several parts and placed on an autoresponder. The introduction would be an instant message, with the remainder placed in follow-up messages. This approach is often used as a sales tool. When the student gains confidence in you through the information you have provided, you can then present your product (hopefully related to the course material) and hopefully gain a sale. You can advertise your free course anywhere on the Internet. Included in your instant or follow-up message would be an invitation to join your opt-in list. Do you get the idea of the power of offering a free course?

Basic sales

As already mentioned, you need to present your product before a potential customer several times to increase the likelihood of making a sale. To do that, you want to give the potential customer a good reason to send his/her e-mail address. Since he/she may not have enough interest simply to ask for more information about your product, you will want to offer some incentive, like a free gift or service. Whatever the method, you want to get the potential customer into your autoresponder message sequence, then, in those messages, send your customer to your web site to make the sale.

Customer support

This is a large topic. If you are selling information products, you may want to use autoresponders as the product delivery method. You can provide after-sale support information such as FAQs (frequently asked questions), thank-you messages, request for testimonials, etc.

This is just a broad-brush overview of areas of autoresponder application. Within each area, there is a multitude of special tips and approaches that have been found to be effective.

You are probably getting the idea that while the basic function of autoresponders is simple, things get much more complex the deeper we look, and you would be right. Let’s simplify some of these things by looking at some of the choices and factors involved in setting up and using autoresponders.

Personalization

Don’t you like to hear your name? Everyone does, and they like to see it in print, also. That’s the powerful principle behind email personalization. Your autoresponder can insert the first, last or full name anywhere in the message you want it! You would write your e-mail something like, “Hello [firstname], I’m glad you signed up to my list.” The autoresponder would insert the proper first name for each recipient wherever you put [firstname]. Last name or full name personalization works the same way. If the name is not known, most autoresponders insert ‘friend.’

Follow-up message timing

As mentioned, most autoresponders allow multiple follow-up messages – some up to 52 or more! You control these messages by specifying the number of days after the instant message that each follow-up message will go out. It’s all automatic!

Multiple autoresponders

As also noted, each autoresponder corresponds to one e-mail address. Since there are so many functions for autoresponders, you will undoubtedly not stop at one, but have many at one time. Each one can have its own set of messages and list of subscribers. You may get each of these autoresponders from one supplier, or, as we will discuss shortly, you may want to get them from multiple suppliers.

Plain text or HTML

The simplest autoresponder products can only send e-mail messages in plain text. But, if you have an e-mail program with HTML capability you have probably received e-mails with colors and pictures. (HTML refers to the code used to program web pages.) More sophisticated autoresponders can send e-mail messages composed in either plain text or HTML, and the receiving e-mail program will automatically display either text or HTML, depending on its capability. Neat, huh?

Unsubscribing

If you have concerns about the reaction of your opt-in list to your messages, you should understand that they can always stop the message sequence at any time. All autoresponder messages have a clearly indicated removal method, usually a link at the bottom of the message. Clicking on the link, or in some cases sending an unsubscribe email to a given address, will remove the receiver from that opt-in list entirely. This makes it important on your part to avoid bombarding your list with messages, and to make the ones you do send informative and interesting. If you turn your subscribers off and they unsubscribe, you have lost potential customers.

When you begin to understand the importance of building the opt-in mail list, you are likely to wonder what the best ways are to do that. After all, if you are just starting out, you are probably having trouble getting large numbers of visitors to your site. If they don’t come to your site, how do you get them on your opt-in list?

One of the most popular and effective ways is to start an online newsletter or electronic magazine, called an ezine. There are literally hundreds of thousands of ezines in publication, on every conceivable topic. If you have determined the thing or things that make your website unique, you would probably want to use the same theme in creating your ezine. This is a very large topic, but you should realize that most autoresponders (except the free ones) will function to maintain your ezine mailing list and send out your ezine itself.

The selection of a good autoresponder to serve as your ezine mail list handler is explored in much greater depth in my All About Autoresponders product.

The main idea with an ezine is to provide something of value to your readers with every issue. As you build a relationship with your readers, they will become more receptive to any product offers you may have. You may well feel totally incapable of publishing an ezine. There are many resources to help you in starting an ezine; a good one is the How to Write a Newsletter Toolkit.

In addition to having a signup for your ezine on your website, you can use any of the normal advertising methods to attract subscribers to your ezine. Offering a free course on some topic via autoresponder is a good way to attract inquirers who might then sign up for your ezine. You can also do ad swaps with other ezines, where you and some other publisher place ads for the other’s ezine in their own publication.

Who Needs Autoresponders?

If you are like many who are relatively new to Internet business, you may be thinking, “Why would I want autoresponders for my little web site?” Or maybe, “Why would I want to unleash a bunch of obnoxious salesbots?”

To answer those questions, we need to spend a little time looking at the fundamentals of selling on the Internet. If all you have is a home page to inform family and friends about the latest happenings and favorite recipes, you probably wouldn’t be here. I assume you are reading this e-book because you have hopes of selling something on the net, whether you plan to make a living from it or not.

For 99% of the people doing business on the Internet, operations are based on their own web site. I assume most of you have a web site or plan to put up one. Once that site is in operation, you will be faced with one of the biggest hurdles in Internet business, how to get visitors to your site. No visitors = no sales. Simple formula!

There are LOTS of ways to get visitors to your site – using autoresponders is part of several of them. But for now think in more general terms – what happens when someone visits your site?

Whatever else they may do there, in business terms they either buy or they don’t. Pretty basic. But here’s the most important fact you may ever learn about Internet business.

WHETHER THEY BUY OR NOT IS NOT THE MOST IMPORTANT QUESTION ABOUT YOUR VISITORS!

Did I get your attention?

What could possibly be more important for a sales web site than whether a visitor buys or not?

WHETHER YOU HAVE BEEN ABLE TO CONVINCE THEM TO LEAVE THEIR EMAIL ADDRESS!

Here’s why: Only a small percentage of first time visitors will buy from you. If you haven’t done all you can to capture their email address so you can follow up with them, you are destined to spend all your efforts (and money) getting new visitors to your site in hopes that a few will buy. Sales statistics show that most prospects need to be exposed to an offer more than 7 times before they buy! You have no hopes of placing your product before a buyer 7 times unless he/she has agreed to leave his/her email address.

The idea here is not to ‘trick’ someone into leaving an email address. Your visitor expressed some interest in coming to your site in the first place; your job is to give him/her enough reason to want to hear more about what you have or will have in the future. The list of such e-mail addresses is called an “opt-in mail list” because each has opted-in by agreeing to give you an address and receive mailings from you. Don’t ever try to build lists of names unless each and every one agrees to be on your list. E-mail sent to someone who didn’t request it could be considered “spam” and is a major problem on the Internet. Don’t do it or you could lose your web site!! (Technically, an e-mail is spam only if you provide no means for the receiver to unsubscribe. However, many or most people will not be pleased to receive advertisements that they are not interested in and did not request.)

How do autoresponders fit in here? We will look at 3 fundamental factors.

Three Fundamental Factors

First, let me summarize the importance of the preceding paragraphs by stating 3 things that most successful Internet business owners say you must do:

1. Build an opt-in mail list.
2. Have a method to follow up your site visitors.
3. Mechanize your opt-in and follow-up processes.

Autoresponders are the heart and soul of all three!

Let’s look at each one and see how autoresponders fit.

The E-mail List

You will want to have an opt-in e-mail list sign-up form in a prominent place on your web site. That form will be connected to a program that stores those names and addresses. An autoresponder or an e-mail list program with autoresponder functions will usually be the program to fill that role. That is a major function of autoresponders – maintaining a list of all the email addresses it receives. As we saw previously, the address (and name, if available) of each e-mail received by an autoresponder is faithfully stored in its subscriber list.

The Follow-up Method

Follow-up means you have the means to contact your opt-in list. A list of names isn’t much good otherwise. Obviously the basic autoresponder function of responding to e-mail messages isn’t of much value here. We need a function that can send follow-up messages to addresses we already have. And that is one of the additional functions of a good autoresponder or an e-mail list program. It is often called the ‘broadcast’ function for obvious reasons – a message is broadcast to all the addresses in the list at once.

Mechanized Processes

We have just seen the way an autoresponder can send a single message to thousands of members of an opt-in list automatically. How is the opt-in process automated? There are commonly 3 ways of collecting the names and addresses without you having to manually enter them.

One is for your subscriber to simply send an email to your autoresponder address. Whether or not it is configured to send an instant message, the autoresponder faithfully records the address and the name (if known) for each e-mail message received at its address.

The second method is the form on your web site mentioned above. Almost all autoresponder suppliers supply a simple means to add this form so that addresses are recorded automatically in your opt-in list.

The third method is more sophisticated. Have you ever visited a web site and seen a box pop up which said something like “Click OK to subscribe to my Internet Marketing newsletter?” If you click OK, your email address will be automatically captured without you having to even enter it. Many autoresponder suppliers furnish the means for you to add this kind of pop-up opt-in box to your site.

The automation aspect of using autoresponders can hardly be over-emphasized. As an Internet business starts to grow, handling all the tasks involved becomes entirely unmanageable without automation, and autoresponders are at the heart of that process. If you are trying to build a business without effective use of autoresponders, you are putting yourself at a huge disadvantage compared to those marketers who do.

As you can see from this discussion, the functions of autoresponders are tightly linked with the fundamental principles of Internet business. Unless and until some method other than e-mail is created for marketing on the Internet, autoresponders in some form will be essential.

The concept sounds simple, and it is. But, as we will see, any simple concept can get really complex when it gets put into use. For right now, let’s look at two more important functions of autoresponders. The first is multiple messages. As the name implies, the message you get back when you send an e-mail to an autoresponder address may not be the only one. In fact, after that first message (sometimes called an instant delivery message), you may get additional ‘follow-up messages’ every day for a week, or a month! It all depends on how the autoresponder is set up and the purpose it is supposed to fulfill. The total package of messages is often called a ‘message sequence’ or a ‘campaign.’

The second function is the subscriber list. As you see in the diagram above, when the autoresponder received the message from Joe Smith, in addition to sending the Instant Delivery Message back to Joe, it also put Joe’s name and e-mail address in its subscriber list (sometimes called a contact list).

I’m sure you are starting to see the word ‘salesman’ written all over this description of autoresponder operation. Yes, the primary application of autoresponders is automated sales. In fact, they are sometimes called ‘salesbots.’ We’ll see more about that shortly.

The word autoresponder comes from the phrase automatic responder. They are also often called email automatic responders. As you might expect, they function by responding automatically. What do they do and what do they respond to? We’ll see in a minute.

First you should realize that autoresponders are just e-mail addresses that act in an unusual way. They can look like any other email address – group@duniainternet.com could be an autoresponder address or the personal email address of someone named Joe. The appearance won’t necessarily tell you whether the address is an autoresponder or not.How does an autoresponder address act that is unusual? Here’s how: When you send an email to an autoresponder address, you will always get a pre-stored message back, usually within minutes – in other words, an autoresponder responds automatically to an email sent to it by sending its pre-stored message back. The following diagram illustrates this basic function.

The pre-stored message could be anything that the person owning that autoresponder address wanted to make available to you. It could be information about a product you are interested in. It could be instructions on how to use or repair a product that you have. It could be an article about how to lose 30 pounds in 30 days. In other words, any kind of information that you can send by email can be stored in an autoresponder, ready to be sent in reply when someone sends an email to the autoresponder address. It is often called an Instant Delivery Message because it is always sent immediately in response to any email it receives.

What message do you need to send to cause the autoresponder to send its pre-stored Instant Delivery Message back? It doesn’t matter at all! The autoresponder ignores the message; all it looks at is your email address, so it can send its message back to you.
